General Sales Terms and Conditions for INDIVIDUALS/GROUPS – ACCOMMODATION, DAY TRIPS, AND EXPEDITIONS
These terms and conditions shall apply to all orders unless otherwise agreed upon in writing.
1. VALIDITY
These conditions shall apply to all orders unless otherwise agreed upon in writing.
2. ORDERS/ PRICES
Orders may be placed through your travel agent, in writing to our office, or via our website.
Any arrivals after the start of the event and/or departures prior to the end of the event shall not entitle participants to any reduction in the price, unless explicitly agreed or stated in advance.
Participants are not entitled to any price reductions due to circumstances beyond our control, such as weather, wind, flight or boat delays, changes in ice conditions, etc.
3. PAYMENT CONDITIONS
For multi-day expeditions, a deposit of 50% of the price must be paid according to the issued invoice within 10 days of booking. The remaining balance is due 90 days prior to departure. For late bookings, the full amount will be charged immediately.
Late payments will incur an interest of 2.5% per month from the due date.
For day trips/cruises, the full amount must be paid according to the issued invoice within 10 days of booking.
4a. CANCELLATION CONDITIONS FOR ACCOMMODATION AND EXPEDITIONS
Cancellations must be made in writing. Depending on when we receive notice of cancellation, a partial refund may be issued.
We recommend that customers take out cancellation insurance with their private insurance provider, which should cover, among other things, cancellations due to illness.
In the event of a client cancelling a paid booking, Arctic Travel Company Grumant reserves the right to retain the following cancellation fees:

5. UNFORSEEN CIRCUMSTANCES
Arctic Travel Company Grumant reserves the right to change departure times and the minimum number of participants and to cancel trips up to 4 weeks prior to departure (or up to the start time for day trips) in the event of insufficient participants based on the minimum numbers stated in brochures or on the website.
We also reserve the right to change the program during the trip if the planner/guide deems it necessary for safety or technical reasons (e.g., weather conditions, snowmobile breakdowns, delays). In the Arctic, the weather dictates the program, and extreme conditions may require adjustments, including due to ongoing rescue operations. Such changes do not entitle customers to any price reductions.
Arctic Travel Company Grumant will make every effort to carry out the trip as described, but the safety of our guests is always our top priority.
6. CUSTOMER LIABILITY
Customers are responsible for evaluating their own physical and mental condition relative to the demands of the trip.
Customers must follow the instructions given by the guide at all times. It is strictly prohibited to bring private weapons or pyrotechnic equipment on our trips.
Arctic Travel Company Grumant reserves the right to refuse participation to anyone deemed a safety risk or whose behavior may disturb other participants.
7. INSURANCE
7.1. Participants must have insurance that covers all expenses related to search, rescue, and evacuation in case of emergencies during the trip (as required by Norwegian Regulation No. 1108, effective July 1, 2018, concerning tourism and field activities on Svalbard).
Ordinary travel insurance does not usually cover the cost of search and rescue (SAR) operations.
7.2. For longer trips, each participant is required to have personal travel insurance. This can be obtained through a travel agent or insurance provider. All expenses arising from a covered event will be borne by the insurance company.
7.3. We recommend that customers take out cancellation insurance with their private insurance provider, which should cover, among other things, cancellations due to illness.
8. TYPING ERRORS AND PRICE CHANGES
Arctic Travel Company Grumant accepts no liability for typographical errors or for price changes due to circumstances beyond our control.
